Transportation Maintenance Coordinator

Position Summary
The Transportation Maintenance Coordinator manages the day-to-day coordination of maintenance activities for CPG’s fleet of chassis, containers, and related equipment. Serving as a key point of contact between drivers, dispatch, and approved maintenance vendors, this role ensures repairs are dispatched quickly, completed in line with IEP (Intermodal Equipment Provider) protocols, and properly documented for billing and audit. The Coordinator plays a critical role in minimizing equipment downtime and keeping freight moving safely and on schedule.
• Receive and accurately record incoming maintenance calls in CPG’s proprietary maintenance management application.
• Set up maintenance vendors based on IEP guidelines and equipment-specific repair protocols, ensuring the right provider is matched to each repair.
• Issue vendor payments; scan, save, and file invoices in the appropriate folders for record-keeping and audit purposes.
• Process invoices for payment in a timely, accurate, and well-documented manner.
• Process storage and lift payments, verifying supporting documentation and approvals.
• Communicate proactively with drivers, dispatchers, vendors, and internal teams to keep repairs on track and equipment in service.
• Track repair status and follow up on outstanding work orders to minimize equipment downtime.
• Maintain organized records of maintenance activity, invoices, and vendor communications, and surface recurring issues or trends to leadership.
• 3+ years of relevant experience in transportation maintenance coordination, fleet operations, dispatch, logistics, or a similar administrative/coordination role.
• High school diploma or GED required; technical degree, certification, or coursework (e.g., diesel/heavy equipment, logistics, business) preferred.
• Safety experience or working knowledge of DOT regulations preferred but not required.
